Inviting Team Members and Assigning Roles

This guide shows how to invite your teammates and assign the right WhatsApp access starting from SendZen.
Use this when you want your dev/support/ops team to manage templates, phone numbers, verification, and billing without breaking ownership or security.

What you’ll do#

1.
Open your WABA in SendZen
2.
Jump to Meta Business Manager using SendZen’s Meta links
3.
Invite a teammate to the Business Manager
4.
Assign WhatsApp Account (WABA) access
5.
(Optional) Assign phone number permissions if needed
6.
Verify they can open the Meta links from SendZen

Step 1: Open your WABA in SendZen#

1.
Log in to SendZen
2.
Go to My WABA
3.
Select the correct WABA (if you have multiple)
4.
Click View Status
You’ll now see your WABA status and Meta-connected links.

Step 2: Open Meta Business Manager from SendZen#

1.
In View Status, click the Business Manager link
2.
Meta opens in a new tab (login if asked)
✅ You are now inside the correct Meta environment connected to your SendZen WABA.

Step 3: Invite your teammate (inside Meta)#

1.
In Meta, open Business Settings
2.
Go to Users → People
3.
Click Add
4.
Enter your teammate’s email
5.
Choose role:
Employee access (recommended for most teammates)
Admin access (only for owners / backup admin)
6.
Click Next and send the invite
✅ Your teammate receives an email and must accept it.

Step 4: Assign WhatsApp Account (WABA) access (most important)#

This is the step most people miss.
1.
Still in Business Settings
2.
Go to Accounts → WhatsApp Accounts
3.
Select your WhatsApp account (WABA)
4.
Click Add People
5.
Select your teammate
6.
Enable the permissions they need (Meta UI varies, but commonly):
Manage WhatsApp account
View access / insights
Manage messaging / templates (if shown)
7.
Save changes
✅ Now they can see the WhatsApp Account and related assets.

Step 5 (Optional): Assign phone number permissions#

If your teammate needs to manage:
phone number status,
quality rating,
messaging limits,
profile/display name status,
troubleshooting onboarding,
then also ensure they have access to the phone number.
1.
From SendZen My WABA → View Status
2.
Click WhatsApp Manager link
3.
In Meta, open Phone Numbers
4.
Select the phone number
5.
Add the teammate under access/people/permissions (wording varies)
6.
Save
✅ Now they can fully manage number-level operations.

Step 6: Confirm access using SendZen (best test)#

Ask your teammate to test using SendZen:
1.
They log in to SendZen
2.
Go to My WABA → View Status
3.
Click the Business Manager link
If they can open Meta and see the WhatsApp account and phone number, setup is correct.

Recommended role plan (simple and safe)#

Give Employee access to:#

developers (templates, integration debugging)
support team (checking status, basic troubleshooting)
ops team (templates + number checks)

Give Admin access only to:#

founder/owner
one trusted backup admin
Best practice: keep 2 admins max.

Common problems (and fixes)#

“Teammate accepted invite but can’t see WhatsApp”#

Cause: Added to BM, but not assigned the WABA asset
Fix: Business Settings → Accounts → WhatsApp Accounts → Add People

“Teammate can see WABA but not phone number”#

Cause: phone number permissions not assigned
Fix: WhatsApp Manager → Phone Numbers → select number → add permissions

“SendZen Meta link opens wrong account”#

Cause: logged into wrong Meta user in the browser
Fix:
log out of Meta
log in with the correct Meta account
click the SendZen Meta link again
