Choosing and Connecting a Phone Number: New vs. Existing Numbers

Choosing the right phone number is one of the most important decisions in WhatsApp onboarding.
A “wrong” number choice can cause OTP failures, delays, or migration pain later.
This guide helps you decide whether to use a new number or an existing WhatsApp number, and how to connect it starting from SendZen.

Quick recommendation (most teams)#

✅ If you’re starting fresh → Use a new number
✅ If your business already uses WhatsApp with customers → consider:
WhatsApp Co-existence (best if you need the app + API together), or
Migrate to API-only (if you want full API control)

Option A: Using a New Number (recommended)#

When to choose a new number#

Use a new number if:
you are launching WhatsApp for the first time
you don’t want to disturb an existing WhatsApp app inbox
you want the cleanest setup with least risk

Pros#

Smooth onboarding and fewer conflicts
Less chance of “number already in use” errors
Cleaner compliance setup for templates and messaging

Cons#

You’ll need to build customer awareness of this new WhatsApp number

Best practices for new numbers#

Use a number that can receive SMS/voice OTP
Avoid IVR/call routing on the number (OTP often fails)
Keep it dedicated for WhatsApp API usage

Option B: Using an Existing WhatsApp Number#

There are two common “existing” cases:

Case 1: Number is currently used on WhatsApp App (personal or business app)#

This is the most common scenario.
You have two paths:

Path 1: WhatsApp Co-existence (app + API together)#

Choose this if:
you want to keep using the WhatsApp Business App
you want API messaging in parallel
you want to preserve existing chats in the app

Path 2: Move to API-only (remove from the app)#

Choose this if:
you want all messaging to be managed via API
you are building a SaaS/automation product
you don’t need the app inbox anymore
In many cases, you must remove/disconnect the number from the app first, then register via API.

Case 2: Number is already on WhatsApp Business Platform via another provider (BSP)#

This means the number is already registered on the API platform, but under another provider.
You’ll need to migrate it.

Which option should you pick? (decision table)#

Choose New Number if:#

you’re launching WhatsApp for the first time
you want fastest onboarding
you want lowest risk setup

Choose Co-existence if:#

your team needs WhatsApp Business App inbox
you want to keep existing chats in the app
you want to add automation gradually

Choose Existing number (API-only) if:#

you’re building a product integration
you want to centralize messaging via API
you don’t need the app inbox

Choose Migration if:#

your number is already under another BSP/provider
you want to move it to SendZen

How to connect the number in SendZen (recommended flow)#

No matter which option you choose, start inside SendZen:
1.
SendZen → My WABA
2.
Click View Status
3.
Use Meta links to confirm your current setup:
Business Manager link (ownership/verification/users)
WhatsApp Manager link (phone numbers/templates/limits)
Then connect accordingly:
New number → register via Embedded Signup
Existing app number → coexistence or remove + register
Existing BSP number → migrate

Common mistakes to avoid#

❌ Using a number with IVR enabled (OTP fails)
❌ Trying to register a number still active on WhatsApp app without coexistence
❌ Registering under the wrong Business Manager (ownership issues later)
❌ Choosing “existing number” without planning templates + consent + quality control

Important note about Meta timing#

Note: Phone number registration and activation is controlled by Meta. Sometimes even after OTP verification, the number may stay in a pending/processing state for a while. Approval timing depends on Meta — wait, refresh, and re-check status from SendZen → My WABA → View Status.
